POD's can be scanned into FileDirector with the order number or delivery note number intelligently read so documents can be quickly and easily indexed. With the delivery notes successfully archived, retrieving is simple. Just key in the right information - client, date, order number etc to view the document and to zoom in on who signed for your goods.
We also provide a range of intelligent scanning applications that will allow delivery notes to be scanned and then saved to a Windows share or another repository like Sharepoint. This can be done by either renaming the file to the delivery note number or creating "meta data" in a separate index file such as CSV or XML. This information can then be used to archive the document in any existing document management system you may have or any other location you choose.
Barcode vs OCR

Barcodes are without doubt the most accurate way of reading information on a page. Adding a barcode is relatively straight forward. Barcode fonts can be added to your PC and your program - Sage, Dynamics, Excel etc can be set to show a field in the barcode font as opposed to a standard font. It's that easy. However, we realise that many companies have to ask their software vendors to make these changes and this can take time. If you have access to your systems such as Sage we will be able to make these changes for you.
Zonal OCR is 95% accurate but can be affected by the quality of the scanning - smudge marks, creases in the pages all affect results so when reading areas of the page, we need to validate the results prior to archiving or submission. The very positive side of zonal ocr is that we can work with existing documents and starting improving on what you have straight away.
