Scalable Solutions

Document Management solutions often start off small and grow with the business. A big bang approach can be disrupting so we usually recommend kicking off document management in one area of the business by tackling one difficult process. File Director allows us to easily add more users and can scale up across departments, sites and cities. What's important is that initially we can design a simple and affordable solution.

Indexing & Retrieval

File Director makes it easy to find information. Documents can be assembled in virtual cabinets with document types having search fields (indexes). For example, Invoices could be stored in an accounts cabinet with indexes of Date, Supplier, Value. In addition full text searching is available to search for words within the content.

Easy Capturing of Information

Information can be captured and stored from a number of locations. Document Scanners can be introduced to handle paper documents and we can integrate with eCopy Scanstations and your MFP to introduce ad-hoc scanning. In addition, all office files can be added by a simple right click.

Documents can be easily made available to both clients and colleagues using a web browser. A virtual cabinet of documents can be searched and configured in your company livery to look like an extension of your existing web site or Intranet.

Security

File Director works with Active Directory to enable fast deployment of security settings by user or group. This means only the right people get to see the right documents improving on existing document security of a locked filing cabinet.

Document Storage

A great feature of File Director is the ability to give a document type, like invoices, a retention period. For example, seven years is sufficient for HM Revenues purposes and it could be that documents are deleted automatically after this period or moved to a near line or off line storage medium. File Director can handle all of this with a few clicks of the mouse.
